Sales Opportunity Follow-Up Template for the Next Buyer Step

A deal can show recent activity while making no progress. Another email, task, or CRM note matters only when it advances a buyer-agreed next step.
Use the record below to prepare a reminder from the buyer's last commitment. It works in a document, spreadsheet or CRM note; any message about terms or consequential commitments still needs the right person to approve it.

Field guidance
- Cite evidence for the current stage and the buyer-agreed next step separately.
- Write every due date with a timezone and distinguish buyer dates from internal reminders.
- List exact document versions that may support the message.
- Gate price, product, security, legal and contractual language by accountable owner.
- Cancel pending sends when a reply, stage or source version changes.
HubSpot's workflow documentation makes enrollment, branches, re-enrollment and unenrollment explicit. Apply that lifecycle, but do not assume feature parity or an integration. Review the mechanism.
Fictional filled example: proposal review
Opportunity and current stage: O-318; proposal review
Why this stage is current: Buyer received proposal v3 and asked for security answers
Next step the buyer agreed to: Review answers with IT and respond by 22 August 2026, 17:00 ICT (UTC+7)
Due date, time and timezone: 22 August 2026, 17:00 ICT (UTC+7)
Person responsible and backup: An; sales lead is backup
Approved sources/attachments: Proposal v3, approved security FAQ, meeting notes
When to prepare the follow-up: One business day before the buyer-agreed date
Checks before sending: No newer reply; opportunity open; owner active; document versions current; no suppression or dispute
Message purpose and next action: Offer approved answers and ask, “Would you like the answers in email, or a 20-minute review with the security owner?”
Get human approval for: Any new security assurance, price, discount, term, deadline, or product commitment
Stop when: Buyer replies, meeting is booked, stage changes, opportunity closes, owner creates an action, or contact becomes invalid
If overdue: Notify the sales lead; do not send repeated messages automatically
What proves completion: Next action, owner, date, source version and buyer outcome recorded
Who checks it and when: Sales operations reviews overdue and incorrect-stage cases weekly
Quality checklist
- Stage entry has evidence, not seller optimism.
- The trigger references a buyer-agreed or owner-approved next step.
- Source versions are current before drafting.
- A reply or stage change cancels scheduled sends.
- Pricing, security, legal and contractual claims require approved owners.
- Completed actions record an outcome, not only activity.
Common mistakes
| Mistake | Safer correction |
|---|---|
| Treating seller activity as stage evidence | Cite the buyer event or approved record that supports the stage. |
| Using a due date without timezone | Store date, local time and timezone with its source. |
| Sending from an obsolete attachment | Verify the named source version before drafting. |
| Repeating outbound after an overdue action | Notify the owner and require a fresh decision. |
Frequently asked questions
Should every open opportunity have an automated message?
No. Some need an internal task, specialist review, or no action until a buyer-agreed date. Choose the action from the current state and evidence.
Can AI decide the next best action?
It may recommend from permitted options, but the record should expose its evidence and uncertainty. High-consequence commitments remain human-approved.
What if the stage is stale?
Pause outbound action and route the record to the owner for correction. Automating from a stale stage can send an irrelevant or harmful message.
What metric matters most?
Measure opportunities with a valid next action, overdue-without-owner rate, correction rate, buyer response, and stage/outcome accuracy—not email volume.
What to do next
Use the lead assignment routing template to ensure every overdue exception reaches an accepted owner.
